What we build
AI automation services for small businesses
A custom AI automation is a set of steps that runs on its own when something happens in your business. We build each one around your process and the tools you already use. It answers new inquiries, sends reminders, sorts email, and updates your records, and a person checks what matters.
Six jobs
The jobs we can take off your plate
These are examples of what we can build. We design each automation around your own process, and we start with the job that costs you the most time.
Lead follow up
A new inquiry gets a reply as soon as it arrives. A reminder goes out if nobody answers, and it stops when the person does.
- Starts when
- A form or an email arrives
- You get
- A reply sent and the lead sorted
Booking and reminders
Customers book, confirm, and reschedule on their own. The calendar stays current, and a reminder goes out before each visit. Review requests follow the finished job.
- Starts when
- A customer asks for a time
- You get
- A booking and a reminder sent
Quote follow up
A quote that sits unanswered gets a polite nudge on a schedule you set. The nudge stops when the customer replies.
- Starts when
- A quote goes out
- You get
- A follow up sent on time
Email and inbox
Messages are read and sorted in Gmail or Outlook. Long threads are summarized, and a draft reply waits for your approval.
- Starts when
- A message lands in your inbox
- You get
- A summary and a draft to approve
Website chatbot
A chat on your website answers common questions from your own documents. It hands the rest to a person with the visitor's details.
- Starts when
- A visitor asks a question
- You get
- An answer, or a handoff to you
Data entry and reports
Forms and PDFs are read into the right fields, your apps stay in step, and a short summary of your weekly numbers arrives on its own.
- Starts when
- New data arrives
- You get
- Updated records and a weekly summary
What custom means
An automation that follows your steps
A general app asks you to follow its steps. A custom automation follows yours. We write down how the job runs today, then build the automation to match it, on the software you already use.
| Question | By hand | A general app | A custom automation |
|---|---|---|---|
| Fits your process | Yes, because you do it | Partly. You adapt to the app | Yes. It is built around your steps |
| Who does the repeat work | You or your staff | You, after setting it up | The automation, with checks you choose |
| When something changes | You change how you work | You change a setting, if it allows | We change the automation with you |

Your tools
Built on the tools you already use
We build on the software you already pay for and know. We suggest a change only when it clearly earns its place.
Naming a tool does not suggest an affiliation or an endorsement.
These are tools we can work with.
- Google Workspace
- Microsoft 365
- Gmail
- Outlook
- Notion
- Airtable
- Excel
- Calendly
- Mailchimp
- HubSpot
- Zapier
- Make
A week with an automation
How an automation spends the week
Some of the repeat work in a week can move to the automation. Your own work stays yours, and the time that frees up is yours to use. The picture shows the idea.
- Mon
- Tue
- Wed
- Thu
- Fri
- Handled by the automation
- Your work
- Time back
Limits
Where it falls short
An automation is not the right answer to every problem. These are the limits we plan around.
- AI output needs a person to check anything that affects money, a legal obligation, or another person.
- We do not guarantee a ranking, a traffic figure, a lead figure, or a savings figure.
- A job that changes every time is a poor fit. An automation needs steps that repeat.
- An automation is only as clear as the steps you give it. If the process lives in someone's head, we write it down with you first.

Questions
Questions about what we build
Who is custom AI automation for?
It fits owners of small businesses with steps that repeat, such as answering new inquiries, booking visits, following up on quotes, or sorting email. If a job follows the same steps each time and costs you time every week, an automation may fit. The free call is where we look at yours.
Can you build on the software I already use?
Yes. We build on the tools you already use, such as Google Workspace, Microsoft 365, Notion, Airtable, Calendly, Mailchimp, HubSpot, Zapier, and Make. We suggest a change only when it clearly earns its place.
How do I know if a job is worth automating?
Look for a job that repeats, follows the same steps, and costs you time every week. Describe it on the free 30 minute call, and we will say whether an automation fits. If it does not fit, we say so.
